How to increase CRM and Outlook Adoption

There are many benefits to bringing in new technology to your business. Increased efficiencies and sales while decreasing organizational silos are a few benefits that can be seen almost immediately once implemented. But getting user buy-in can be a challenge. 

Many executives seek ways to increase CRM and Outlook adoption.  Is it best to incentivize your group? Or reprimand those that don’t?

Today, achieving digital transformation is critical to organizations.  With that said, achieving technological change can be a slow, tedious process when user-adoption is low.  It is equally important for your team to understand how to use new technology as it is for them to know why. Once they develop a comfort level with the technology, and understand how it makes their work better, is when the real ROI comes into play.

If you are seeking to increase user-adoption, here are a few things to bear in mind:

Make it routine

As early as possible, communicate to your team that the organization is transitioning from old to new, and make it a routine part of their day. An easy way to do this is to have your team give updates through the new technology.  For example, once you have implemented a CRM system, start asking for reports or numbers using the CRM system.

Get your internal leaders onboard

Here, we are not necessarily speaking about managers. We are talking about any team members that are influential within your organization. Using these influencers who have good networking and communication skills can help spread the word of adoption in a positive light.

Make it fun

Rewarding “good” behavior is much more effective than penalizing “bad” behavior. Whether you use compensation, recognition, or perks, it can be a fun experience to motivate and engage your team.

Last-ditch effort: Consequences

If all else has failed, it may be time to consider instituting consequences for non-use, because at a certain point, the issue of lack of adoption becomes a productivity issue. Now, those who have not adopted the new technology need to be held responsible for not utilizing said tools. A good example is to communicate that any work done outside of the new systems will not be counted towards their work.

  • Reward employees that embrace early adoption
  • Make new technology a part of their new routine


  • Choose an overly complicated technology solution
  • Get your internal leaders on board
  • Rush into punishing employees who don’t embrace adoption – this should be a last resort
